We are currently seeking a Administrative Assistant for a temporary/ contractual assignment with one of our top clients in Gaithersburg, MD. The ideal candidate will perform vital administrative support functions for both collocated colleagues and our client's global team. Responsibilities. Answer incoming calls, take messages and forward calls in a professional manner, following established guidelines. Greet visitors with courtesy and professionalism and direct them appropriately. Monitor and organize key customer-facing email inboxes and respond to incoming inquiries. Organize and distribute incoming and outgoing mail, including preparation of mailed materials (invoices, welcome gifts, etc.) and processing of domestic and international shipments. Manage inventory and of office and kitchen supplies. Maintain common office areas including conference rooms and the kitchen by restocking supplies, refilling coffee machines, setting up our daily Fruit Cart, performing basic clean-up duties, etc. Help with data entry, clean-up, and auditing projects for various departments . Assist with event preparation by organizing conference materials, preparing name badges, creating seating charts, etc. Support Customer Service and Sales by assisting with account requests (subscription changes, demo requests, service audits, proofing agreements, etc.). Send limited customer email notifications under the direction of the Process team. Qualifications. Exceptional written and oral communication skills. Ability to prioritize and complete numerous projects simultaneously. Excellent organizational skills with strong attention to detail. Proficiency with Microsoft Office and basic computer programs.
